Send a Drone

Privacy Policy

Version 1.4 · Effective October 22, 2026 · Send a Drone, LLC

This Privacy Policy explains how Send a Drone, LLC ("Send a Drone," "we," "us") handles information about customers; owners, occupants, principals and association representatives asked to consent to a Mission; pilots and pilot applicants; site contacts; people who make imagery privacy requests; and visitors to the Send a Drone website and applications. In this policy, a business day is Monday through Friday, excluding U.S. federal holidays, counted in U.S. Central Time.

1. Information we collect

Account and contact information: name, email address, phone number, company name, account role and password. Passwords are handled by our authentication provider; we never see them. Guest customers give us a name, email address and phone number.

Mission information: property address and map coordinates, Mission boundary and parcel information, suite or unit, site-contact name and phone number, instructions, selected services and scope, requested dates and time windows, reference files, status history, and the photographs and video captured for the Mission. For a guest order, we keep a record of the private Mission link we issued (its expiry and a random identifier, not the link itself) and of requests for a new link.

Consent information: the names, roles and email addresses of owners, occupants, principals, parcel owners and association representatives named in a Mission Authorization; each consent, withdrawal or objection, with its time, IP address and browser; uploaded listing agreement pages and photographs of posted notices; real estate license numbers; and the results of our consent checks, described in section 3.

Customer activity: quotes, orders, cancellations, coverage-notice preferences, written marketing permissions and their withdrawal, promotion codes you use and any promotion repayment, star ratings you give pilots, and problems you report about deliverables.

Payment information: payment and refund amounts, status, and identifiers from our payment processor, Stripe. Card details are entered directly into Stripe's form and never reach our servers. We do not store card numbers or keep a payment method on file.

Pilot applicant and pilot information: legal name and the name on your FAA certificate; age and U.S. work-authorization attestations; contact details; your operating base (city, state, ZIP code and map coordinates), service radius, availability and services offered; your FAA certificate number, photographs of the certificate or an FAA airmen-record screenshot, and your recency date; insurance details and certificate of insurance; aircraft details (make and model, registration number, Remote ID type, ownership or control, camera); sample work; an application you have saved but not yet submitted; and our verification decisions and notes.

Pilot activity and performance: offers and hold requests and your responses; travel, arrival and airworthiness records; preflight confirmations, including any FAA authorization reference you enter; day-of confirmations; no-go and site access reports; withdrawals and no-shows and their reasons; uploads and quality-review outcomes; customer ratings; confirmed quality and performance failures; payout disputes and outcomes; qualification status and suspensions; payouts, trip amounts and recovery obligations; and the status of your Stripe Connect payout account. Stripe verifies your identity and bank details; we receive the account's status, not your bank credentials.

Imagery privacy requests: the requester's name, email address, connection to the property or person, the address or files concerned, and our decision.

Public records: the owner of record for a property, from county appraisal district records, used to check consents.

Legal acceptance records: which document and version was accepted, a checksum of the accepted text, the time, the IP address and browser, and, for a Mission Authorization, the Mission it belongs to. For pilots, also the version of the Pilot Payout Schedule reviewed before accepting the Pilot Payout Policy, with the time, IP address and browser.

Technical information: IP address, device and browser information, authentication events and server logs.

2. Cookies

We use only cookies that keep you signed in, which are strictly necessary for the service. On the payment page, Stripe's form may set cookies for fraud prevention. We do not use advertising or analytics cookies, tracking pixels or tag managers. The service is offered for properties in the United States.

3. How we use information

We use information to create and secure accounts; check coverage and price Missions; send consent requests and record and verify consent; take payments and issue refunds; match Missions with eligible pilots; verify pilot credentials, insurance and aircraft; dispatch, schedule, review and deliver Missions; administer cancellations, no-gos, withdrawals, recaptures, payouts and payout disputes; measure pilot performance under the Pilot Independent Contractor Agreement; handle imagery privacy requests; use Mission imagery in our own marketing, only where the customer gave separate written permission for that Mission, and never imagery of residential property or imagery under an open imagery privacy request; run promotions and collect any promotion repayment; send Mission, consent, coverage, safety and account notices; prevent fraud and security incidents; keep records of legal acceptances; improve our operations; and comply with legal, tax, aviation, insurance and accounting obligations.

Consent checks. To make sure a consent comes from the person named, we compare the consenting email address and domain with the ordering customer's; compare the device and internet connection used to give consent with those used to place the order; and compare the name typed with the county appraisal district's owner of record. A mismatch sends the consent to a person on our staff for review. It is never the only basis for a decision about anyone.

4. Location and address privacy

The exact Mission address is operational information and is shared only when a pilot needs it. Before a Mission is assigned, pilots see only a general area (coordinates rounded to one decimal place, an area several miles across), the service, the requested date and the payout. The exact address, boundary, site contact and instructions become available to a pilot only when the pilot is assigned to the paid Mission. Pilots cannot see other pilots' Missions, and customers cannot see other customers' Missions. A pilot's operating base and service radius are not shown to customers or published. After assignment, the customer sees only the pilot's first name and last initial, and there is no public pilot profile.

5. Mission imagery and how we share information

Mission imagery. Deliverables are stored in private storage. Except for copies a customer has permitted us to use in our marketing, they are not publicly listed or reachable through permanent public links. They are shown only through short-lived links generated for the assigned pilot, for our reviewers, and, after quality review, for the customer who ordered the Mission. Faces and license plates are blurred in Listing Aerials before delivery. We use Mission imagery only for fulfillment, quality review, recapture, privacy requests, disputes, insurance, tax and recordkeeping, security and, with the customer's written permission for that Mission, our own marketing. We never use it publicly without that permission; never use residential imagery, or imagery under an open imagery privacy request, for marketing; and never name the customer or state the property's address in marketing unless the customer agrees separately in writing. A customer may withdraw that permission at any time for future use.

Who receives information:

  • Assigned pilots: the Mission address, boundary, site contact, instructions and reference files, as needed to perform the Mission.
  • Customers: approved deliverables for their own Missions, accepted unable-to-capture notes, the status of each consent request (not the consenting person's device or connection details) and, after assignment, the pilot's first name and last initial.
  • People asked to consent: the consent request for that Mission, including the address, service, scheduled window and the ordering customer's name.
  • Service providers acting for us: Supabase (database, authentication and file storage); Vercel (hosting); Stripe (payments, refunds, promotion repayments and pilot payout accounts); Mapbox (address suggestions and coordinates); our transactional email provider (sending email); and n8n (workflow automation for notifications). We add any new provider to this list before it receives personal information.
  • The public: Mission imagery a customer permitted us to use in our marketing, as we publish it on our website, social media accounts and advertising, without the customer's name or the property's address unless the customer agreed separately in writing.
  • Others: professional advisers and insurers; law enforcement or other authorities where the law requires it or where needed to protect safety, rights or property; and a successor in a merger, financing, acquisition or sale of assets, subject to appropriate protections.

We do not sell personal information, including precise location data, and we do not sell Mission imagery as a data product.

6. Imagery privacy requests and takedown

An owner or tenant of a property shown in Mission imagery, a person shown in it, or someone acting for them may ask us to blur, restrict or delete it. Tell us the property address (or where the image was taken) and your connection to the property or person.

Fastest route: the imagery privacy form. The form is on our website. When you submit it and confirm your email address, the platform immediately withdraws all imagery from Missions at that address from customer galleries and downloads, before anyone reviews the request. From then on, only our reviewers can see it.

Email or mail. You may instead email support@sendadrone.us with the subject line "Privacy", or write to us. We withdraw the imagery within 3 business days after we receive the request.

After the imagery is withdrawn:

  1. Within 3 business days after receipt, we acknowledge the request and tell the ordering customer that a request is under review.
  2. Within 15 business days after receipt, we decide, using the Mission's authorization record. We may release the files (consent and scope are confirmed), or blur, crop or delete them.
  3. If we release the files, they return to the customer's gallery, and the customer's 90-day access period is extended by the time they were withdrawn.
  4. If we blur or delete files, we tell the customer which files are affected and ask the customer to do the same with its copies.
  5. If a Mission Authorization or consent appears to have been false, we may suspend the account that gave it. If a request appears to have been made to interfere with a customer rather than to protect privacy, we may release the files and refuse further requests from that requester.
  6. We tell the requester the outcome and keep a record of the decision.

7. Retention and deletion

We keep information only for the periods below and then delete it. A Mission is closed when it is completed, cancelled, or ended with a refund. We delete information within 30 days after its period ends, unless a hold applies. Copies in our backups are overwritten in the normal backup cycle within a further 30 days. We do not move information to an archive in place of deleting it.

  • Customer gallery access. Purpose: Delivery to the customer. Kept until: 90 days after delivery, extended only as section 6 states.
  • Mission photographs and video, including partial uploads and files from recaptures. Purpose: Fulfillment, recapture, disputes and privacy requests. Kept until: 12 months after the Mission is closed (for a Construction 4-Pack, each visit separately).
  • Approved marketing copies of Mission imagery. Purpose: Our own marketing, under the customer's written permission for that Mission. Kept until: the permission is withdrawn or otherwise ends; then removed from our website, social media accounts and advertising within 10 business days and deleted within 30 days.
  • Mission, quality-review, payout, dispute, consent and legal acceptance records, including uploaded listing agreement pages and notice photographs. Purpose: Evidence of agreements, consents and decisions. Kept until: 5 years after the Mission is closed or the acceptance is made.
  • Imagery privacy requests. Purpose: Evidence of decisions. Kept until: 5 years after the decision.
  • Payment, refund, tax and accounting records. Purpose: Tax and accounting law. Kept until: 7 years after the transaction.
  • Pilot credential, insurance and aircraft documents. Purpose: Eligibility and claims. Kept until: 3 years after the pilot account closes.
  • Account and contact information. Purpose: Running your account. Kept until: 3 years after the account closes.
  • Server and security logs. Purpose: Security. Kept until: 12 months.

Holds. A hold stops deletion for one Mission or record only while a matter that needs it is open. The platform places a hold automatically when any of these is opened for a Mission: a payment dispute or chargeback; a problem report or recapture; a payout dispute; an imagery privacy request; or an incident report. We place a hold ourselves only for a written legal demand, a claim or notice of a claim, a regulator's inquiry, or an insurer's request. Every hold records the Mission or record it covers, its reason, who placed it and the date it started.

A hold ends when its matter is closed. We review every hold we placed ourselves at least every 90 days and release it when it is no longer needed. When a hold ends, anything whose period has already passed is deleted within 30 days. While a hold is open, held imagery stays in restricted storage, never in a customer gallery.

8. Security

We use administrative, technical and organizational safeguards, including access controls enforced by our database, server-side authorization checks, private file storage with short-lived links, and records of every legal acceptance and consent. No system is completely secure. If a breach affects your personal information, we will notify you as the law requires.

9. Your choices and rights

Subject to the records we must keep under section 7, you may ask us to access, correct or delete your personal information, or to give you a copy of it, by emailing support@sendadrone.us with the subject line "Privacy". We respond within 45 days, and may extend that once by 45 days if we tell you why within the first 45. If we decline a request, you may appeal by replying to our decision with the subject line "Privacy appeal"; we respond to appeals within 60 days and, if we deny the appeal, tell you how to contact the Texas Attorney General. You may withdraw a consent you gave for a Mission before its flight, stop coverage notices, and withdraw a marketing permission at any time. We will not treat you differently for exercising these choices.

10. Who the service is for

The service is for business customers and their representatives, and pilots must be at least 18. It is not directed to children under 13, and we do not knowingly collect their information.

11. Changes

We post changes with a new version and effective date. When we publish a new version, you may be asked to accept it before your next order or, for pilots, before you receive further offers.
